# Set up your team in HR in Brixit CRM

Use **HR → Employees**, **HR → Departments** and **HR → Designations** to organise
your brokerage and add colleagues to the CRM.

A **department** groups people, such as Sales or Leasing. A **designation** is a job
title, such as Agent or Team Leader. **Access** determines the employee's CRM role;
a job title alone does not grant permissions.

**Before you start:** you need permission to manage the relevant HR area. Prepare the
department, designation and intended access level before adding an employee.

## 1. Create a department

1. Open **HR → Departments** and select **Add**.
2. Enter the department **Name**.
3. Choose a parent department if this is a subteam. Some versions label this field **Parrent**.
4. Select a **Leader** if appropriate. You can return to edit this after adding employees.
5. Select **Create**, then check the department in **Table View** or **Hierarchy View**.

*Parent and leader are optional in this form. The name is required.*

## 2. Create a designation

1. Open **HR → Designations** and select **Add**.
2. Enter the job title in **Name**.
3. Select a parent designation if your organisation uses a title hierarchy.
4. Select **Create** and check that the title appears in the list.

Use an existing department or designation when it already describes the role; this keeps
your employee records consistent.

## 3. Add an employee's basic details

1. Open **HR → Employees** and select **Add**.
2. Enter the employee's **Name**, **Email** and **Mobile**, including its country code.
3. Add a profile image if needed.
4. Complete relevant details such as broker licence number, languages and professional
social links. Only enter personal details your team needs for its work.

## 4. Set employment details and access

1. Scroll down to **Employment Details**.
2. Choose **Department**, **Designation** and **Access**.
3. Set the **Employment Type**, required **Joining Date**, and probation end date if needed.
4. Review **Login** under **Additional Information** and choose whether the colleague
should be able to sign in. Follow your company's account-onboarding process.
5. Review the form before selecting **Create**. Account onboarding may send an email;
verify the employee's email address first.

*Employment and access controls lower in the same form. Choose access according to the colleague's responsibilities.*

Use **Settings → Roles & Permissions** and the [access guide](https://www.brixit.io/docs/crm-company-access)
to review what an access level permits. Changes
to a shared role affect the people assigned to it, so review the intended access before
applying a role to a new employee.

## 5. Verify the employee record

After the save succeeds, locate the employee in the table and open their profile.
Check department, designation, access and status. If login was enabled, have the colleague
complete the normal sign-in process and confirm they can see the modules needed for their work.

The employee list shows **Access**, **Status** and **Last Login**. Use the available edit
action when team membership or responsibilities change. Follow your company's offboarding
process when someone leaves, including review of records assigned to them.

For employee attachments, use the [document upload guide](https://www.brixit.io/docs/crm-documents) and
the permissions available on that employee record.

## If something does not work

| What you see | What to check |
| --- | --- |
| Department or designation is missing | Create it in its HR module, then reopen the employee form. |
| No suitable access level | Ask an administrator to review Roles & permissions. |
| Employee cannot sign in | Check the saved email, status, Login setting and the company's onboarding process. |
| Employee can sign in but cannot see a module | Check their access role, module permissions and record visibility. |
